Frequently Asked Questions

Are SmartMed services HIPAA compliant?

Yes.  With SmartMed Summit, technical and administrative measures have been implemented to protect confidentiality and the personal health information of patients. In addition, SmartMed, LP maintains a full-time Director of HIPAA Compliance who oversees policy and procedures.

What equipment do we need?

SmartMed Summit is a web application and is not operating-system dependent. Therefore, Windows 2000 or XP or Mac systems can be used.  All major browsers (Internet Explorer, Netscape Navigator, Mozilla, Firefox, Safari, Opera, etc.) are compatible.  For printing and print preview capability, Adobe Acrobat Reader is required.

What happens if the dictation system is down?

SmartMed assigns a backup system to each account in case the primary system fails.

What is the turnaround time of your medical transcription?

This will be determined by the customer and stated in the Service Agreement.

How long do you keep our dictation and transcription records?

If our digital dictation system is used by customer, the voice files are kept for 3 years in SmartMed archives.  All transcribed documentation is archived for a minimum of 3 years.

What is the setup time involved for new accounts?

Upon receiving an executed Service Agreement, report templates and a physician list, we can usually schedule installation and on-site training within 30 days. However, proprietary interface design requirements may affect the start-up time period.
